We act as both a data controller (for our direct relationship with Campsite Operators) and a data processor (when processing guest booking data on behalf of Campsite Operators).

Important: We use trusted third-party services - Clerk handles all user authentication and Stripe processes all payments. This means we do not directly store authentication credentials or payment card information.

2. Information We Collect

2.1 Campsite Operator Data

When you register as a Campsite Operator, we collect:

  • Contact information (name, email, phone number) managed through Clerk authentication
  • Campsite details (name, location, description, amenities)
  • Billing information (processed securely through Stripe)
  • Usage data and analytics

2.2 Guest Booking Data (Processed on Behalf of Campsite Operators)

When processing bookings, we handle guest data including:

  • Personal information (name, email, phone number)
  • Booking details (dates, accommodation type, number of guests)
  • Payment processing (handled securely by Stripe - we do not store payment card details)
  • Communication preferences and history
  • Marketing preferences and consent status
  • Interaction history with marketing communications

3. How We Use Information

3.1 Campsite Operator Data

  • Provide and maintain our booking management services
  • Process payments and manage subscriptions
  • Send marketing communications about our services and updates (where consent has been given)
  • Communicate with you about your account and our services
  • Improve our platform and develop new features
  • Ensure platform security and prevent fraud

3.2 Guest Booking Data

We process guest data solely on behalf of and at the direction of Campsite Operators to:

  • Facilitate booking reservations
  • Process payments securely
  • Send marketing communications on behalf of campsite operators (where consent has been given)
  • Enable communication between guests and campsite operators
  • Generate booking confirmations and receipts
  • Provide customer support

4. Marketing Communications

We take your privacy seriously when it comes to marketing communications:

  • We only send marketing communications where you have explicitly consented
  • Marketing consent can be withdrawn at any time through your account settings or by contacting us
  • Each marketing email includes an unsubscribe link
  • Campsite operators may send you marketing communications if you've given them permission

5.1 With Campsite Operators

Guest booking data is shared with the relevant Campsite Operator to fulfill reservations and provide customer service.

5.2 Service Providers

We work with trusted third-party service providers to deliver our services:

  • Clerk: Handles user authentication and authorization. Clerk processes account credentials and login information.
  • Stripe: Processes all payment transactions. We do not store payment card details - this is handled entirely by Stripe's secure infrastructure.
  • Other providers: Email delivery, infrastructure hosting, and analytics services.

All service providers are contractually bound to protect your data and comply with applicable privacy laws.

We may disclose information if required by law, court order, or to protect our rights, safety, or property.

7.2 Guests

For guest booking data, rights requests should be directed to the Campsite Operator where you made your reservation. As a data processor, we will assist Campsite Operators in responding to valid rights requests, including:

  • Access to your personal data
  • Correction of inaccurate data
  • Deletion of your data (subject to legal retention requirements)
  • Data portability

8. Data Retention

We retain data in accordance with UK data protection laws (UK GDPR) and legitimate business purposes:

  • Campsite Operator Data: For the duration of your account plus 6 years for legal and tax purposes
  • Guest Booking Data: For 6 years from the date of the last booking to comply with UK tax and legal requirements
  • Usage and Analytics Data: Up to 3 years for service improvement purposes
  • Marketing Data: Until consent is withdrawn or after 2 years of inactivity

9. International Data Transfers

Your data may be processed in countries other than your own. We ensure appropriate safeguards are in place for international transfers, including standard contractual clauses and adequacy decisions where applicable.
